Job Description

Position Title: Executive Assistant

Location: 51 Madison Avenue, New York, USA

Schedule : Hybrid : Tuesday – Thursday: Onsite; Monday/Friday: Remote

Duration: Initial 3-month contract (duration may vary)

Working Hours: Standard office hours (9 AM – 5 PM)

Job Description & Responsibilities:

  • Provide administrative support to department executives and VIP stakeholders, supporting up to 5 Vice Presidents.
  • Manage calendars for multiple executives.
  • Coordinate and schedule meetings.
  • Handle correspondence and communication on behalf of executives.
  • Prepare and edit documents, presentations, and reports.
  • Process expense reports accurately and timely.
  • Perform data entry and generate reports as needed.
  • Execute ad hoc administrative tasks to support team efficiency.

Qualifications

  • 8–10 years of Administrative Assistant experience, including at least 5 years supporting Senior/Executive Leadership (required).
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
  • Demonstrated experience managing multiple calendars and scheduling meetings.
  • Ability to adhere to a hybrid work schedule (on-site and remote).
  • Proven experience handling sensitive and confidential information.
  • Strong written and verbal communication skills with professional etiquette.
  • Exceptional attention to detail and organizational skills.

Interview Process

  • Initial Screening : One-on-one with the hiring manager (via video or phone call).
  • Panel Interview : Meeting with two additional VIP stakeholders (video or in-person preferred).
